Working directly with the VPs, providing day-to-day support for the arising needs related to complex travel arrangements, national and international events, and administrative support. Ensuring compliance with standards, aligning the role with Werfen’s values and purpose, with particular emphasis on integrity and honesty.
Responsibilities
Key Accountabilities:
Efficient Administrative Support: Manage administrative processes and implement organizational tools.
Communication and Coordination: Act as a liaison between different departments and team members, improving coordination for meetings, events, and travel arrangements.
Travel Management: Arrange complex travel for VPs and their teams, apply for visas, and handle expense reports.
Invoice Management: Create purchase orders for VP’s projects and teams.
Call Screening: Screen incoming calls.
Visitor Reception: Greet and manage visitors.
Auditorium Management: Arrange meetings and logistics for the auditorium, supporting all stakeholders.
Meeting Scheduling: Schedule meetings and arrange video conference rooms for the department.
Subsidiary Meetings Support: Provide support for subsidiary meetings at Torre Werfen.
Event Management: Assist with international and annual meetings.

Qualifications
Minimum Knowledge & Experience Required for the Position:
Minmum 5-7 years of experience in a similar role within an international corporate environment
English advanced (C1/C2)
University degree
Secretarial studies (would be a plus)
Microsoft Office suite
SAP and Concur (would be a plus)
