Overview
Job Summary
The Communication & Events responsible is responsible, for France, for the organization and management of external events organized by Werfen, including in particular customer events and congresses, as well as, at the request of the Marketing Director, any other internal or external events covering the full scope of Werfen solutions distributed in France. She is also responsible for the maintenance and development of Werfen Academy (WA).
She ensures the planning, preparation, and on‑site execution of these events. This also includes drafting and managing contracts with third parties (notably organizers, suppliers, and customers) involved in these events and congresses, in full compliance with Werfen’s internal procedures and applicable regulations, particularly in terms of Compliance (for example, the regulation of benefits granted to healthcare professionals and public sector agents, and the MedTech Code).
She ensures that the budgets allocated to these events are respected and is accountable for them. She ensures that timelines and schedules are met in line with commitments. She monitors the use of WA both externally and internally, managing connection statistics and the number of users.
She is responsible for training new employees in the use of WA.
RC works at all times in strict compliance with internal procedures, laws, and regulations, particularly regarding Compliance. In this capacity, she is responsible for drafting contracts and agreements related to healthcare professionals, submitting them to professional bodies or other competent authorities as part of authorization requests and declarations, as well as monitoring these processes and obtaining the necessary approvals. Where applicable, she prepares purchase requests (Purchase Orders or POs) once the required procedures and authorizations have been duly obtained, in compliance with internal procedures.
She works closely with other colleagues in the Marketing department, the Marketing Assistant, and the Marketing Director to whom she reports directly. She also collaborates with other Werfen departments in France, notably Finance, Sales, Quality, and Services.
Responsibilities
Key Accountabilities
Event organization and management
- Plan, organize, and coordinate external and internal events (congresses, trade shows, client events), ensuring compliance with budgets, timelines, and schedules.
- Manage relationships with suppliers, organizers, and partners, including drafting, negotiating, and monitoring contracts and agreements.
- Be present on-site to oversee the smooth running of events.
- Ensure reporting, post-event analysis, and propose innovative ideas to improve the effectiveness and impact of event activities.
- Actively contribute to communication efforts and promote Werfen’s image during events and with clients.
- Develop and maintain a network of KOLs and strategic partners.
Compliance and regulatory
You are responsible for managing all compliance-related activities linked to marketing operations, particularly those related to regulations governing benefits provided to healthcare professionals.
In this context, you will ensure:
- Direct interactions with healthcare professionals
- Strong knowledge and rigorous application of compliance requirements
- Drafting of agreements and contracts
- Management of the internal validation process
- Declarations to the relevant authorities
- Submission of files for approval when required
- Reporting activities on dedicated platforms
- As well as internal reporting
All these activities are carried out in strict compliance with legal requirements and deadlines, ensuring full traceability and thorough monitoring of activities, declarations, authorization requests, and related approvals.
In this role, you will work closely with Marketing and Sales teams, as well as with General Management and Finance teams.

Qualifications
Minimum Knowledge & Experience required for the position:
- Proven experience in events and marketing, ideally in the medical or scientific sector, with at least 2 to 5 years of experience.
- Good understanding of compliance requirements and regulated environments (a strong asset).
- Excellent organizational, interpersonal, and project management skills.
- Ability to manage multiple projects simultaneously in a dynamic environment.
- Creative, proactive, and results-oriented.
- Proficient in CRM tools and Microsoft Office 365.
- English required.

Travel requirements:
- Approximately 25% to 40% of working time, for indicative purposes
