Job Summary

The focus of a Business Support Specialist is to provide transversal support to all the Commercial Areas in processes associated with Operational Marketing and to provide a transversal support service to the entire sales team on the participation in marketing events, defined by the respective BL/Department.

 

Key Accountabilities

Operational Marketing

Main accountability is to centralize all the support provided to commercial teams, ensuring consistency and redundancy of all processes.

Mainly:

Collaborate in the execution of operational tasks that support commercial team's objectives and in the analysis of reports on consignment, pending sales, valid customer proposals, demonstration status, providing respective follow-up for those tasks

Conduct research and analyze internal trends to identify stock optimization opportunities and propose solutions to the commercial team and supply chain team

Receive, via internal departments such as customer service, contracting department, regulatory affairs, warehousing and technical service requests for information on products/services from MC Medical customers and perform the due dilligency with commercial team, customers and the mentioned departments

Create, register and update information applicable to the products commercialized by the company. Support the cross-functional and commercial teams to gather necessary documents, and information, to complete the process. Manage operacional activity with suppliers and mediate the relationship between the commercial team, suplly chain management and those entities

Be an active part on the relationship with suppliers supporting the commercial team with concrete requests to those entities.

Assist the commercial team in preparing proposals and quotes and coordinate with other departments to ensure the correct flow of internal processes

Assist in the development of the business and provide inputs to the commercial team that concern control of expenses, mainly regarding samples, expired consignment or wharehouse stock and logistic processes

Coordinate with support departments to ensure that new suppliers are correctly created in the SAP tool. Manage all the necessary documentation for the process to be concluded.

 

Event Management

Main accountability is to centralize all information regarding marketing events and to coordinate the participation of MC Medical, transversally, in these events (concept of aggregating contact point between internal and external stakeholders).

 

Communication and Coordination:

Facilitate internal communication by sharing marketing event details with different business units.

Respond to participation and non-participation emails and coordinate validation with the Commercial Team.

 

Sponsorship and Event Management:

Process sponsorship requests as per Commercial Team instructions.

Liaise with event organizers, collect data, and manage contract validation and signing.

Generate and send purchase orders to external entities.

 

Documentation and Reporting:

Support INFARMED, I.P. reporting on the Transparency Platform.

Maintain an organized archive with ongoing process information.

 

Logistics and Material Procurement:

Coordinate procurement of marketing event support material and communicate event details to carriers.

Manage hospitality arrangements for external participants.

Arrange for promotional materials and oversee printing with suppliers

 

Compliance and Approvals:

Manage internal approval workflows within Werfen compiance rules

Coordinate internal approval for promotional materials based on MC Medical guidelines.

 

Communication and Publications:

Prepare and send communications to HCPs for internal events in coordination with the Commercial Team.

Coordinate and oversee publication on external platforms (LinkedIn, Wenet) and scientific journals.

 

Networking/Key relationships

To be determined based on department needs, to include interactions such as:

Suppliers

 

Minimum Knowledge & Experience required for the position:

Education: Minimum Secondary School education

Experience: Minimum of 2 years of work experience in the Healthcare sector

Aditional Skills /Knowledge:

Competency in Microsoft applications (Excel, Word, Power Point, One Drive, Sharepoint) and in SAP tool

Knowledge of English and Spanish languages
